This policy explains how we collect, hold, use and disclose personal information in connection with our management consulting, business advisory and recruitment services, our business relationships and this website.
2. Personal information we collect
The information we collect depends on how you deal with us. It may include:
- your name, contact details, organisation, position and professional profile;
- information in enquiries, meeting notes, correspondence, proposals, contracts, invoices and service records;
- for candidates, information in applications and résumés, including employment history, qualifications, skills, remuneration expectations, work rights and professional interests;
- information from interviews, assessments, referees, clients, publicly available professional sources and recruitment platforms;
- identity, background, reference or eligibility information where relevant and lawful; and
- technical information associated with use of this website, such as IP address, browser or device information, access time and pages requested, which may be recorded by hosting or security providers.
We may collect sensitive information—such as health information, professional memberships, criminal record information or diversity information—only where it is reasonably necessary for our functions and with consent, or where otherwise permitted or required by law. Please do not provide sensitive information that is not relevant.
3. How we collect information
We usually collect personal information directly from you when you contact us, book a consultation, meet with us, engage our services or apply for a role. We may also collect it from a client or prospective employer, a referee, an authorised representative, a recruitment platform, a professional networking service such as LinkedIn, or publicly available sources. If you provide personal information about another person, you should be authorised to do so and make them aware of this policy where practicable.
You may deal with us anonymously or using a pseudonym where lawful and practicable. In many consulting and recruitment matters, however, we need accurate identifying information to provide the service or consider an application.
4. Why we collect, use and disclose information
We may handle personal information to:
- respond to enquiries, arrange meetings and provide consulting, advisory or recruitment services;
- assess candidates, verify information, obtain references and present suitable candidates to clients or prospective employers;
- manage client, candidate, supplier and professional relationships;
- prepare proposals and agreements, administer engagements, invoice and maintain business records;
- improve and secure our services, systems and website;
- manage risks, resolve concerns and exercise or defend legal rights; and
- comply with legal, regulatory, insurance and professional obligations.
We may disclose relevant information to clients or prospective employers, referees, specialist advisers, professional partners, contractors, technology and storage providers, insurers, auditors, professional advisers, regulators or other parties where authorised or required by law. Candidate information is not provided to a prospective employer without the candidate’s knowledge or consent unless permitted by law.
5. Technology-assisted recruitment
We may use technology, including artificial intelligence tools, to support administrative tasks, organise information and assist analysis. Our recruitment approach is human-led: we do not rely solely on automated processing to make final candidate recommendations or employment decisions. A suitably experienced person reviews material assessments and recommendations.
6. Direct marketing
We may send relevant business communications where you have consented or where otherwise permitted by law. You can opt out at any time by using an unsubscribe option or contacting us. We do not sell personal information.
7. Storage, security and retention
We hold personal information electronically and, occasionally, in paper records. We use reasonable administrative, technical and physical safeguards appropriate to the sensitivity of the information, including access controls and reputable service providers. No method of storage or transmission is completely secure.
We keep personal information only for as long as reasonably required for the purpose for which it was collected, to maintain appropriate business and recruitment records, or to meet legal obligations. When it is no longer required, we take reasonable steps to destroy it or de-identify it. You may ask us not to retain your candidate information for future opportunities.
8. Overseas processing and disclosure
Some technology, communications, cloud storage and professional service providers may process or store information outside Australia. Overseas locations may include the United States and other countries in which those providers or their subcontractors operate; those locations can change and it may not always be practicable to specify every country. Where required, we take reasonable steps in selecting and using providers and handling overseas disclosures consistently with applicable privacy obligations.
9. Website, links and cookies
This website does not currently use advertising or analytics cookies set by CEO Consulting Solutions. Our website hosting provider may process limited technical logs for delivery, reliability and security. The site links to third-party services, including Microsoft Bookings and LinkedIn. Those services operate under their own privacy policies, and we encourage you to review them before providing information.
10. Access and correction
You may ask to access personal information we hold about you or request that inaccurate, out-of-date, incomplete, irrelevant or misleading information be corrected. Contact our Privacy Contact using the details below. We may need to verify your identity. We will respond within a reasonable period and, if an exception applies, explain any refusal as required by law. We do not charge to make a request; we will advise you first if a lawful and reasonable charge applies to providing access.
11. Privacy enquiries and complaints
Please send any privacy enquiry or complaint to our Privacy Contact and describe your concern and the outcome you seek. We will acknowledge and investigate the matter and aim to respond within 30 days.
